Cost Seg Smart LLC ("we," "us," or "our") operates CostSegSmart.com. This Privacy Policy describes what data we collect, how we use it, and your choices. By using our services, you agree to the practices described here.
We are a cost segregation software platform, not a tax advisory firm. We collect only the data necessary to generate your cost segregation report and deliver it to you.
2. Data We Collect
Information You Provide
- Order information: Property address, purchase price, property type, year built, square footage, number of bedrooms/bathrooms, and any uploaded documents (closing statements, tax assessments, photos).
- Contact information: Email address. We do not require your full name for orders.
- Payment information: Processed by Stripe. We never see or store your credit card number. Stripe's privacy policy governs payment data: stripe.com/privacy.
- Lead capture: If you submit your email via our calculator or lead forms, we store your email address and the property details you entered.
Information Collected Automatically
- Analytics: We use Google Analytics 4 (GA4) and Microsoft Clarity to understand how visitors use our site. This includes pages visited, time on page, scroll depth, device type, browser, and approximate location (city-level, not precise). GA4 does not collect personally identifiable information by default.
- Advertising pixels: We use Google Ads conversion tracking and the Meta (Facebook) Pixel to measure ad effectiveness. These tools may use cookies to track conversions.
- Session recordings: Microsoft Clarity records anonymized session replays (mouse movements, clicks, scrolls) to help us improve the user experience. Sensitive content (form inputs, numbers) is masked by default.

We share data with the following third-party services solely to operate our platform:
- Stripe — Payment processing. Receives payment details only.
- Amazon Web Services (S3) — Secure file storage for uploaded documents and generated reports. Stored in US East (Ohio) region.
- OpenAI — Document extraction and narrative generation for your report. Property data (not your email or payment info) is sent to generate report content. OpenAI's API data usage policy applies: data sent via API is not used for training.
- RentCast — County assessor data lookup to verify and enrich property information.
- Resend — Email delivery for reports and marketing emails.
- Google Analytics / Google Ads — Website analytics and ad conversion measurement.
- Microsoft Clarity — Session recording and heatmaps.
- Meta (Facebook) Pixel — Ad conversion tracking.
5. Cookies
We use cookies and similar technologies for:
- Analytics cookies (Google Analytics) — Track site usage patterns
- Advertising cookies (Google Ads, Meta Pixel) — Measure ad conversions
- Session cookies (Microsoft Clarity) — Record anonymized browsing behavior
You can disable cookies in your browser settings. Disabling cookies will not affect your ability to order a study, but may limit analytics and ad measurement functionality.
6. Data Retention
- Reports and order data: Retained indefinitely so you can access your report in the future.
- Uploaded documents: Stored in encrypted S3 buckets. Available for re-processing if needed.
- Email addresses: Retained until you unsubscribe. Marketing emails include an unsubscribe link in every message.
- Analytics data: Governed by Google Analytics and Microsoft Clarity retention policies (typically 14-26 months).
7. Your Rights
You have the right to:
- Access your data: Request a copy of the personal data we hold about you.
- Delete your data: Request deletion of your personal data. We will comply within 30 days, except where retention is required by law or necessary to fulfill an active order.
- Unsubscribe from emails: Click the unsubscribe link in any email, or visit costsegsmart.com/unsubscribe.
- Opt out of tracking: Disable cookies in your browser or use a browser extension to block analytics/advertising scripts.

We use industry-standard security measures including HTTPS encryption, HSTS preload, secure headers (CSP, X-Frame-Options, X-Content-Type-Options), and encrypted storage. Payment processing is handled by Stripe (PCI DSS Level 1 certified). However, no method of electronic transmission or storage is 100% secure.
10. Children's Privacy
Our services are not directed to individuals under 18. We do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Continued use of our services after changes constitutes acceptance of the revised policy.
