Privacy Policy

This privacy policy explains what information Cost Seg Smart LLC ("we", "us", "our") collects, how we use it, who we share it with, and your rights. It applies to costsegsmart.com. Cost Seg Smart LLC also operates the related sites listed at the bottom of this page; each of those has its own privacy policy.

1. What we collect

Information you provide: name, email, phone, mailing address, payment details (processed by Stripe; we do not store full card numbers), property details (address, purchase price, year built, square footage), closing documents, tax assessments, and property photos you upload.

Information collected automatically: IP address, browser type, device type, pages visited, referrer URL, UTM parameters, click identifiers (gclid, fbclid, msclkid), and session recordings via Microsoft Clarity for product improvement.

Tracking pixels and cookies: Google Analytics 4, Google Ads, Meta Pixel, Microsoft Clarity. See "Cookies and tracking" below.

2. How we use it

• To deliver the cost segregation study you ordered.
• To respond to support, sales, or research inquiries.
• To improve our product (which calculator inputs are common, where users get stuck).
• To send transactional email (order confirmations, report delivery, receipts).
• To send marketing email if you opt in to a lead magnet or sequence — you can unsubscribe at any time.
• To prevent fraud, abuse, and unauthorized access to your account.

3. Who we share it with

We share data with service providers who process it on our behalf under written agreements: Stripe (payments), Resend (transactional and marketing email), Cloudflare (hosting, security), Railway (backend hosting), AWS (file storage and database), OpenAI (document text extraction and narrative generation — only the property data and document text required for your report; we do not send personal identifiers beyond what's required), RentCast (property data lookups using your property address), Google (Analytics, Ads, GTM), Meta (Pixel for ad attribution), Microsoft (Clarity session recordings, Bing Ads). We do not sell personal information.

We may disclose information in response to legal process (subpoena, court order) or to protect our rights, property, or safety.

4. Cookies and tracking

The site uses cookies and pixels for analytics and ad attribution (Google Analytics, Google Ads, Meta Pixel, Microsoft Clarity). We operate under Google Consent Mode v2 with a geo-aware default determined by the visitor's region:

• EU, EEA, UK, and Switzerland (GDPR): analytics and advertising cookies default to denied. Nothing loads until you explicitly accept on the consent banner shown on your first visit.
• California (CCPA / CPRA): cookies default to granted. You can opt out at any time by clicking "Do Not Sell or Share My Personal Information" in the footer, which appears for California visitors.
• Rest of US and other regions: cookies default to granted. The footer's "Cookie preferences" link is always available if you want to opt out.

Regardless of region, we honor the Global Privacy Control (GPC) browser signal — if your browser sends GPC, analytics and advertising cookies are denied automatically and no banner is shown.

5. Your rights

California (CCPA / CPRA): you have the right to know, delete, correct, and opt out of the sale or sharing of your personal information. Use the "Do Not Sell or Share My Personal Information" link in the footer, or submit requests to privacy@costsegsmart.com.

Other US states with comprehensive privacy laws (Virginia, Colorado, Connecticut, Utah, Texas, Oregon, etc.): same rights to access, delete, and correct. Same email address.

EU, EEA, UK, and Switzerland (GDPR / UK-GDPR): you have rights to access, rectify, erase, restrict, and object to processing of your personal data, plus data portability and the right to withdraw consent at any time. Submit requests to privacy@costsegsmart.com. You also have the right to lodge a complaint with your national supervisory authority. We do not target EU/UK markets, but if you reach the site from these regions you'll see an opt-in consent banner and your data won't be processed for analytics or advertising until you accept.

6. Data retention

We retain order data and reports indefinitely so we can re-deliver them on request. We retain marketing-list data until you unsubscribe. Session recordings are deleted after 90 days. We delete data on verified request (subject to legal retention requirements for tax records and dispute resolution).

7. Security

Files are stored in AWS S3 with server-side encryption. Database access is restricted to scoped IAM users. Payment data is handled by Stripe and never stored on our servers. We use HTTPS for all customer-facing pages and APIs.

8. Children

This is a B2B / B2C tax product. We don't knowingly collect data from children under 16.

9. Changes

We update this policy periodically. The "last updated" date at the top reflects the most recent revision. Material changes are emailed to active customers.
